Private workspace for agencies and their clients

Every client request,captured, scheduledand billed.

Chat, calls, projects, tasks, clients and files in one private workspace, with an assistant that reads your projects and turns email and Slack requests into scheduled tasks.

Built by a live-events agency for its own team and a hundred clients. In daily use since January 2026.

The product, recreated at full scale. Dark interface only.

How it works

One request, followed from the inbox to the invoice

A venue emails three changes on a Friday. Here is what Pixl Pulse does with it, without anyone retyping a word. Scroll to move through it.

01 / IT ARRIVES

The email lands in the synced inbox

A connected Microsoft 365 mailbox syncs every five minutes. Newsletters, receipts and calendar invites are filtered out before anything is read.

02 / IT GETS SCHEDULED

Three slots appear on Monday's planner

Once a day at the hour you choose, actionable emails become tasks with a title, a priority, a 15 or 30 minute slot that does not collide with anything, and a link back to the email.

03 / IT GETS ASKED ABOUT

Ask Pulse AI what came in this month

The assistant searches your tasks by client, source and date and answers with the list, because it lives inside the workspace rather than in another tab.

04 / IT GETS BILLED

The hours show up under the client

At month end the Owner opens Billing: every captured request grouped by client, with estimated hours and a reason for each. Adjust, exclude, reassign, mark invoiced.

Hi Andre, three small things before the weekend if possible:

1. Swap the hero image for the new season photo
2. Fix the date on the Friday show page
3. Add the new sponsor logo to the footer

Thanks as always.

Built by an agency, used every day

Technology for the people doing the work

Pixl Pulse was built by a live-events agency to run its own days: a small team, a long client list, and requests arriving from everywhere. Every feature on this page exists because something broke on a real Monday.

One workspace

Everything links to everything

A message becomes a task with one click. The task links to the email it came from. The project holds the files the assistant reads. The client's month rolls into a billing total. Five tools you used to pay for separately, referencing each other.

Email Slack Task Project Client Billing Files Pulse the assistant reads and writes all of it captured automatically hours per client per month
Replaces, for your teamTeam chat, task boards, a client list, a file share and a separate assistant tab.
Connects, for everyone elseMicrosoft 365 mail and Slack stay where your clients and partners already are.
Owned by youYour own login system, a database and storage you control, encrypted tokens for every connection.
The assistant

Pulse AI knows your projects, because it lives in them

Generic assistants are useless to agencies because they cannot see the work. This one has 24 tools inside the workspace: it searches, reads, creates and files things, and shows you a card for every action it took.

Requests captured where they arrive

Your inbox stops being the to-do list

Clients send requests where they already are. Pixl Pulse watches those places and turns what is actionable into scheduled tasks, tagged with their source, linked back to the message.

Email

Connect a Microsoft 365 mailbox. Mail syncs every five minutes and is classified once a day at the hour you pick. Actionable messages become tasks; newsletters, receipts and verification codes never get that far. A three-month backfill is one click.

Honest limit: Microsoft 365 and Outlook only. Gmail and Google Workspace are not supported today. Your email domain is enabled during onboarding.
Slack

Connect Slack and read every DM, group and channel inside Pixl Pulse. Every two hours, messages from the people you have mapped to clients become tasks, threads included, one task per message. Any Slack message can also become a task from its hover toolbar.

Honest limit: a new Slack sender is captured once you link them to a client in the review queue. Real-time Slack alerts are not built yet.
Your planner and your calendar

Captured tasks land in My Pulse with realistic 15 or 30 minute slots that do not overlap what is already there, in your own timezone. A dedicated Pixl Pulse Tasks calendar mirrors them into Outlook and stays in sync as tasks move or complete.

Also here: a Gantt timeline from day to year, drag to reschedule, per-task reminders, a private project only you can see.
Sign up and land on My PulseName, email, password. Under a minute. The first screen is your planner.
Connect email and SlackTwo standard consent screens, two to three minutes each. Pick the hour for the daily scan.
First captured tasks the same dayOr immediately with the backfill. Slack within two hours once senders are mapped.
Invite a clientOne email, one click, and they land inside their own projects with a Client role.

Made in live events

Your clients are busy people. Meet them where they are.

Venues, festivals, promoters and ticketing partners send requests between shows, from the wings, on whatever channel is closest. Pixl Pulse catches them there and brings them to one place your team actually opens.

For the Owner

See the hours behind every client, every month

The dozens of small post-launch requests that never became a formal project are where agencies lose money. Billing groups every captured task by client and month and estimates the hours it represents at your rate, with a reason and a confidence for each.

Security and data ownership

Plain language, including what is not there yet

What protects your data

  • Your own login system. Email and password with hashed passwords and signed secure cookies. No third-party identity provider holds your accounts.
  • Five roles, enforced on the server. Owner, Admin, Manager, Guest, Client. Projects are visible only to their members; Billing and spend are Owner-only.
  • Encrypted connections. Slack and Microsoft tokens, and the organisation's assistant key, are encrypted at rest.
  • Private storage. Files live in a private bucket behind short-lived links. Email HTML is sanitised before it renders. Deleted files sit in a 30-day archive you can restore from.
  • You own the data. Download files, import clients from CSV, export CSVs through the assistant, read billing through the API.
  • Transparent processing. Only what a person asks about, or what the scanner classifies, goes to Anthropic; voice clips go to OpenAI for transcription. Nothing is sold or shared for advertising.

What we do not offer today

  • SSO, SAML, two-factor authentication or magic links.
  • SOC 2, ISO 27001 or similar certifications, and formal GDPR or CCPA documentation.
  • A one-click full-account export, or self-hosting.
  • Gmail or Google Workspace mail capture; calendar providers other than Outlook.
  • Invoicing, payments or accounting. Billing feeds your invoicing tool; it does not replace it.

Pixl Pulse is aimed at small teams. Enterprise controls are not on the near-term roadmap, and we would rather say so here than on a sales call.

Who it is for

Small teams with a long client list

  • Owner-operators and small leadership teams of creative, web, design and marketing agencies.
  • Agencies whose clients are venues, theatres, festivals, promoters and ticketing platforms. The vocabulary and the capture behaviour were shaped there.
  • In-house creative teams inside a venue or festival that serve many internal "clients", and freelance producers juggling several.
  • Teams already on Slack with some clients and Microsoft 365 for email, who want those consolidated rather than replaced overnight.
Who it is not for

Be honest with yourself here

  • Large enterprises that need SSO, audit logs, compliance certifications or hundreds of seats.
  • Teams that want public communities, thousands of channels or an app marketplace.
  • Companies that need a full accounting or invoicing system.
  • Anyone who needs Gmail or Google Workspace mail capture today.
Questions agencies ask

Frequently asked questions

What is Pixl Pulse?

A private workspace for small agencies and their clients that combines team chat, voice and video calls, projects, tasks, client records and files with an assistant that can read and act on all of it. It also watches your Microsoft 365 email and Slack for requests and turns them into scheduled tasks.

Who is it for?

Owner-led creative, web and marketing agencies with a handful of staff and dozens of clients, especially agencies serving venues, festivals, promoters and ticketing companies. It also suits in-house creative teams and freelance producers with the same email-and-Slack-driven workload.

Does it replace Slack?

For your own team and for your clients, yes: direct messages, group chats, project channels, threads, reactions, calls and screen sharing are built in. For people outside your company who live in Slack, it connects to Slack so you can read, search and answer their messages inside Pixl Pulse and turn them into tasks.

How does the email-to-task feature work?

You connect a Microsoft 365 mailbox. Every five minutes new mail is synced, and once a day at an hour you choose, new messages are classified. Actionable emails become tasks on your personal planner with a title, priority, a short time slot that does not overlap your other tasks, and a link back to the email.

Newsletters, receipts, verification codes and calendar invites are ignored before any classification happens.

Does it work with Gmail or Google Workspace?

Not today. Email sync, reply and calendar mirroring are built on Microsoft 365 and Outlook. Google support is not on the current roadmap; ask if it matters to you.

What can Pulse AI actually do?

Search and create tasks, projects, clients and contacts; search your messages and Slack history; read PDFs, Word files, spreadsheets, text and images you have uploaded; write project notes; generate documents in Markdown, CSV or PDF; fetch public web pages and run web searches; and, for the Owner, summarise billing. Inside a project it knows the client, the team, the links and the files, and keeps a history of every conversation.

Can my clients use it too?

Yes. Add a contact to a client record and click Invite to Pulse. They receive an email, create an account, and are placed automatically into every project that belongs to their company, with a Client role that limits them to their own projects and conversations.

What is the Billing tab?

An Owner-only view that groups the tasks captured from email and Slack by client and month and estimates the hours they represent at your hourly rate. You can adjust minutes, exclude items, move a task to the client who is actually paying, and mark lines as invoiced. It feeds an external invoicing app; it does not send invoices itself.

Is there a mobile or desktop app?

Pixl Pulse installs as a home-screen app on iOS and Android with a phone-friendly layout. Boards are view-only and the timeline is hidden on phones, and push notifications while the app is closed are still being finished. The desktop app is available for Windows today, with a Mac build in progress.

How is my data protected, and who owns it?

Passwords are hashed; sessions use signed secure cookies; every permission is enforced on the server; files live in private storage behind short-lived links; connection keys are encrypted at rest; email HTML is sanitised before display. You own your data: files can be downloaded, clients imported from CSV, CSVs exported, and billing read by API.

There is no SOC 2 or ISO certification yet, and a one-click full-account export does not exist yet.

How long does setup take?

Creating an account takes under a minute. Connecting Microsoft 365 or Slack takes two to three minutes each through the standard consent screens. There is no server, DNS or technical work.

Is there a free trial or self-serve signup?

Not yet. Pixl Pulse is offered today through a demo with the team that built it, on real data, followed by an onboarding where your email domain is enabled and your workspace is set up. Request a demo below and we will take it from there.
